Privacy Policy

1. Who we are

SpeakCoach (“the Service”) is operated by TAKE A Inc. (“we”, “us”), a company registered in Tokyo, Japan. The Service is delivered as a web application and a Chrome extension. This policy explains what we collect, why, who we send it to, and how to get it deleted.

2. What we collect

2.1 Through the Chrome extension

When you open a lesson on a supported online English platform and explicitly press “Start recording”, we capture:

  • Your microphone audio (your own speech).
  • The lesson tab’s audio output (your teacher’s speech) — only on platforms whose terms of service permit recording. On platforms that do not permit it, we record you only.
  • Session start and end time, and duration.
  • The name of the microphone device in use, during the lesson only, to detect audio-quality problems.

Recording continues until you press “Stop”, until you leave the lesson page, or until the tab is closed. Nothing is captured before you press start.

2.2 Generated and stored on our servers

  • A transcript of the audio (English text).
  • Pronunciation assessment results (per-word scores, IPA notation, points to improve).
  • Conversation analysis (fluency, vocabulary and grammar scores, and specific corrections).
  • Coaching feedback and review material derived from the above.

2.3 Live transcription during the lesson

While recording, your speech is transcribed in near real time so that captions can be shown in the panel. This is performed by Deepgram, an external speech-to-text provider. Audio is streamed to Deepgram over an encrypted connection for this purpose. It is not processed only inside your browser.

2.4 Word lookup

If you use the word lookup feature in the extension, the query you type is sent through our servers to OpenAI.

2.5 Account and usage data

  • Your email address and authentication tokens, so that the extension and the web app know who you are.
  • Service usage logs and product analytics events (which screens and features were used).
  • Anything you send us when you contact support.

3. Why we use it

  • To transcribe your lesson audio.
  • To generate pronunciation assessment and improvement feedback.
  • To generate grammar, vocabulary and fluency coaching.
  • To track your progress over time so you can compare past lessons.
  • To provide, operate, maintain and improve the Service.
  • To provide support.
  • To prevent abuse and keep the Service secure.

4. Processors we send data to

We use the following processors to deliver the Service. Each handles data under its own terms and its own privacy policy.

  • Deepgram — speech-to-text, both live during the lesson and batch after it.
  • OpenAI — transcription, coaching text generation, and word lookup.
  • Anthropic — coaching and analysis text generation.
  • Microsoft Azure Speech Services — pronunciation assessment (acoustic and phoneme-level scoring).
  • Supabase — database and audio file storage.
  • Vercel — hosting.
  • PostHog — product analytics.

Where your data is stored. Audio files, transcripts and analysis results are stored in Supabase in the ap-northeast-2 (Seoul, South Korea) region. Processing by the providers above may take place in the United States and other countries. If you are in the EEA or the UK, this means your data is transferred outside your region; see section 9.

5. AI processing

  • We apply automated AI processing to your audio and transcripts solely to deliver the features described above.
  • We do not use your recordings or transcripts to train AI models of our own.
  • Our speech-to-text and language-model providers process data under their own terms. Where a provider offers an option to exclude data from model improvement, we are moving to that setting.
  • AI output is advisory. We do not guarantee its accuracy or completeness.

6. Chrome extension permissions

Each permission is used only for the stated purpose.

  • tabCapture — to capture the teacher’s audio from the lesson tab, on platforms where that is permitted. It runs only after you press “Start recording”, and never touches audio from any other tab.
  • offscreen — required by Chrome Manifest V3 to run the recording pipeline outside the service worker.
  • storage — to keep your settings and your authentication tokens.
  • cookies — to synchronise sign-in state between the extension and speakcoach.takea.co.jp only. No cookies are read from third-party domains.
  • host_permissions (lesson sites) — to show the control panel on the lesson page and to capture lesson audio.
  • host_permissions (speakcoach.takea.co.jp) — to upload recordings and retrieve results from our API.
  • Microphone access — to record your own speech. Requested when you first press “Start recording”, and released promptly when you stop.

7. Sharing with third parties

We do not sell your personal data. We disclose it only when:

  • You have consented.
  • We are required to by law.
  • It is necessary to protect life, health or property.
  • It is provided to a processor listed in section 4, within the scope needed to run the Service and under appropriate supervision.

8. Storage and security

  • All traffic is encrypted in transit over HTTPS.
  • Audio files are stored encrypted in Supabase Storage.
  • Database access is protected by authentication and authorisation controls.
  • We take measures to prevent unauthorised access, loss, destruction, alteration and leakage.

9. Your rights

You can request access to, correction of, or deletion of your personal data at any time by emailing us. You can also delete an individual lesson from within the app, uninstall the extension to stop any further capture, and revoke microphone or tab-audio permission from your browser settings at any time.

If you are in the EEA or the UK (GDPR)

Our legal basis is performance of a contract with you for the features you ask for, and your consent for the recording itself — which you give each time by pressing “Start recording”. You have the right to access, rectification, erasure, restriction of processing, data portability, and to object to processing. You may lodge a complaint with your local supervisory authority. Transfers outside the EEA are covered by the standard contractual clauses of the processors listed in section 4.

If you are in California (CCPA/CPRA)

You have the right to know what personal information we collect and why, to request deletion, to request correction, and not to be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined by the CCPA.

10. Retention and deletion

While your account is active we keep your lesson recordings, transcripts and analysis so that you can review and compare past lessons. You can delete an individual lesson at any time from the app.

If you close your account, we delete the recordings, transcripts and analysis results associated with it within 30 days.

11. Cookies

We use cookies to operate the Service and to keep you signed in. You can refuse cookies in your browser settings, but parts of the Service will not work.

12. Children

The Service is intended for adult learners. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, contact us and we will delete it.

13. Changes to this policy

We may update this policy. If a change is material we will notify you within the Service. The updated policy takes effect when it is posted on this page.
